Gold Tower Steel PTY LTD. is a growing steel trading company specializing in the sourcing and supply of steel products and raw materials for domestic and international markets. We are seeking an experienced and highly organized Admin Officer to support our daily operations. This role requires exceptional attention to detail, strong commercial awareness, and a solid understanding of raw materials and supply chain processes. The successful candidate should be capable of managing documentation, coordinating with suppliers and buyers, and supporting import/export operations within a fast-paced steel trading environment.

The Role

As the Admin Officer, you will be responsible for supporting the company's administrative and operational functions, ensuring documentation is accurate, coordinating with suppliers and customers, and assisting with import/export processes from order placement through to shipment completion.

This position is ideal for someone with proven experience in steel trading, raw materials, import/export, manufacturing, or industrial supply, who can work independently and confidently manage commercial and operational administration with minimal supervision. Candidates should have demonstrated experience in commercial administration and supply chain coordination.

Key Responsibilities

  • Maintain accurate records of raw material purchases, pricing, inventory movements, and supplier documentation.
  • Assist with raw material procurement by coordinating with suppliers, obtaining quotations, and monitoring delivery schedules
  • Prepare and manage commercial documentation, including Purchase Orders, Commercial Invoices, Packing Lists, contracts, and other business documents.
  • Coordinate with suppliers, buyers, freight forwarders, and logistics providers to ensure timely processing of orders and shipments.
  • Follow up on shipments, delivery schedules, and outstanding documentation.
  • Assist with import/export administration and maintain accurate records.
  • Coordinate cargo, marine, or trade insurance documentation when required.
  • Prepare quotations, maintain pricing records, and support procurement activities.
  • Maintain organized filing systems and company records.
  • Prepare reports and spreadsheets using Microsoft Excel.
  • Support management with general administrative and operational tasks.
  • Ensure all documentation is accurate, complete, and submitted within required timeframes.

Skills & Experience

  • Minimum 3–5 years' experience in administration within steel trading, raw materials, import/export, manufacturing, logistics, or a similar industry.
  • Knowledge of raw materials, procurement processes, supplier coordination, and commercial trading operations is essential.
  • Strong understanding of commercial and shipping documents, including Purchase Orders, Commercial Invoices, Packing Lists, and Bills of Lading.
  • Advanced proficiency in Microsoft Excel, including formulas, data analysis, and reporting.
  • Experience using ERP, accounting, or invoicing systems is highly regarded.
  • Excellent communication, organizational, and problem-solving skills.
  • Ability to work independently, manage competing priorities, and maintain a high level of accuracy.
