About the Role

We’re seeking a proactive and highly organised Service Coordinator to play a key role in our day-to-day operations. This position sits at the heart of the business—coordinating schedules, supporting staff and clients, and ensuring seamless service delivery.

You’ll thrive in this role if you’re detail-oriented, confident in communication, and able to manage multiple priorities with ease. It’s ideal for someone who enjoys both teamwork and working independently in a fast-paced, purpose-driven environment.

Key Responsibilities

Scheduling & Workforce Coordination

Maintain accurate and forward-planned rosters (minimum two weeks ahead)

Manage monthly default schedules within the CRM system

Adjust shifts in response to staff availability and client needs

Monitor and resolve unassigned or “red” shifts in ShiftCare

Coordinate coverage for planned leave and unexpected absences

Ensure compliant shift structures, including appropriate breaks

Client Intake & Staff Onboarding

Oversee the end-to-end client intake process, from enquiry to service commencement

Prepare and manage client documentation, service agreements, and budget alignment

Coordinate smooth onboarding experiences for new clients

Support recruitment onboarding, including trial shifts and resource allocation (uniforms, kits)

Ensure all compliance and onboarding requirements are completed accurately

Provide ongoing support to new staff during their initial engagement

Client & Staff Engagement

Act as the primary point of contact for staff and client communication

Manage schedule confirmations, changes, cancellations, and general enquiries

Conduct regular client check-ins and follow up on feedback

Maintain consistent communication with staff to support engagement and performance

Handle enquiries and complaints with professionalism and efficiency

Liaise with Support Coordinators and internal team leaders as required

Administration & Systems

Review and process timesheets, ensuring accuracy against shift notes

Maintain timely email correspondence and task management

Keep systems such as Employment Hero and Asana up to date

Attend team and management meetings as required

Ensure services are delivered in line with client budgets and agreements

About You

Experience within the NDIS, disability, or aged care sector (highly regarded)

Background in coordination, scheduling, or client services

Familiarity with systems such as ShiftCare or Brevity (preferred)

Strong communication skills, both written and verbal

Highly organised with the ability to manage competing priorities

A professional, empathetic, and solutions-focused approach

Job Type: Casual / Part-time

Pay: $30.18 – $35.15 per hour

Hours: Minimum 15–24 hours per week
