Administration Assistant Clinical

Approx. 20–25 hours per week

We are seeking a highly organised and capable Administration Assistant to provide critical administrative, compliance, and reporting support to the clinical team in Care & Lifestyle. This opportunity is well suited to an experienced administrator who enjoys working with systems, documentation, and data, and who thrives in a fast-paced, collaborative environment.

About the Role

This role plays a key part in supporting risk, quality, and compliance functions across the team. The successful applicant will oversee day-to-day administrative operations and provide structured support as reporting and compliance requirements continue to increase.

Regular duties will include:

  • Overseeing weekday operations of the Aegis Support Desk, including allocation and monitoring of tasks
  • Conducting weekly audits of SIRS reporting to ensure accuracy and compliance
  • Providing policy update and review support
  • Minuting meetings and preparing follow-up documentation
  • Editing and assisting with internal and external reporting requirements
  • Overseeing team timesheets and leave calendar management
  • Assisting with NQI reporting requirements
  • Providing support with casual therapy rosters
  • General administrative tasks to support the wider team

About You

This role would suit someone who is detail-oriented, confident, and able to support others while managing competing priorities. You will bring strong administrative capability and a proactive approach to problem-solving.

You will ideally have:

  • Proven experience in an administrative role within Aged Care, or healthcare
  • Advanced skills in Microsoft Word and Excel (essential)
  • Strong written and verbal communication skills
  • High attention to detail, particularly with audits, reporting, and compliance documentation
  • The ability to manage confidential information with discretion
  • Confidence supporting teams with risk and compliance reporting
  • Strong organisational and time-management skills
