The Receptionist is responsible for delivering an exceptional front-of-house experience and ensuring the smooth operation of reception services within the Brisbane office. This 12-month fixed-term contract role provides professional reception, communication, meeting support, mailroom, courier, hospitality, and administrative services, while maintaining reception administration, record keeping, compliance with procedures, and service excellence. The Receptionist is required to work onsite five days per week.

Responsibilities:
  • Act as the first point of contact, delivering a professional and welcoming experience for clients, visitors, and colleagues.
  • Manage incoming calls, emails, and enquiries, ensuring efficient communication and prompt follow-up.
  • Coordinate meeting rooms, conferences, catering, and hospitality services to support client and internal events.
  • Handle incoming and outgoing mail, courier services, document distribution, and related record keeping.
  • Provide administrative support, maintaining reception records, visitor logs, registers, and office documentation.
  • Assist with archive, records management, and safe custody processes while maintaining confidentiality and compliance.
  • Ensure reception and client-facing areas are presented to a high standard and support workplace services, governance, and operational excellence.
  • Archive & Safe Custody Support
  • Manage archive requests, document retrievals, collections, deliveries, and transfers while maintaining accurate records and tracking logs.
  • Provide administrative support for records management and Safe Custody processes, escalating enquiries where required.
  • Maintain strict confidentiality and security when handling sensitive and confidential documentation.
  • Ensure accurate maintenance of reception records, visitor logs, courier registers, and mail records.
  • Monitor compliance with visitor management procedures, privacy obligations, and information security requirements.
  • Escalate facilities, maintenance, building security, workplace health and safety, and workplace services issues to the appropriate stakeholders.
What will help you succeed in this role? :
  • At least 3 years' experience delivering reception or front-of-house services within a corporate or professional services environment, preferably within a law firm.
  • Strong customer service and stakeholder management skills.
  • Excellent verbal and written communication skills.
  • Professional telephone manner.
  • Strong organisational and administrative capabilities.
  • High attention to detail and accuracy.
  • Experience coordinating meetings, conferences, events, and hospitality services.
  • Experience managing mail, couriers, visitors, and administrative processes.
  • Experience of archiving, records management, or Safe Custody processes.
