Position Summary

An Office Assistant supports the daily operations of an office by performing a variety of administrative tasks. This role is essential for maintaining an organised, efficient, and productive office environment. Office Assistants are responsible for ensuring that the office runs smoothly. This open role also requires providing reception support.

Key Responsibilities

Provision of support to reception by answering incoming phone calls, taking messages, answering queries, and welcoming guests. Taking and fulfilling tea and coffee orders. Maintaining a professional and welcoming demeanour when dealing with internal and external stakeholders.

General administrative duties necessary for the smooth operation of the office, including but not limited to:

  • Upkeep of kitchens on level 11 and 12
  • Meeting rooms to be always kept clean, tidy and appropriately stocked
  • Stationery areas remain well stocked
  • Stationery room – unpacking deliveries and checking against invoices.
  • Paper is in printers and toner cartridges packed up and organised for collection.
  • Refiling toiletries and ensuring air fresheners are in bathrooms.
  • Fridges kept tidy and clean.
  • Office clean up
  • Furniture moving and assembly.
  • Providing administrative cover elsewhere when required
  • Postage of mail on a daily basis and operating the franking machine.
  • To collect and deliver documents from Clients.
  • To help with the set-up of internal and external events.
