Medical Secretary / Personal Assistant

About Us

Our busy, multi-practitioner specialist medical practice provides high-quality patient care in a fast-paced environment. We are looking for a reliable, highly organized, and professional Medical Secretary / Personal Assistant to join our dedicated clinical support team on a part-time basis.

The Opportunity & Pay Structure

We offer a structured career pathway with excellent financial progression as you master the role:

  • First 3 Months (Training Phase): Part-time flexibility at 2 days per week entry rate of $35.00 per hour to get you comfortable with our specialist workflows.
  • Month 4 Onwards : Transitioning to a step-up rate of $40.00 per hour.
  • Career Growth: Progressive pay structure scaling up to $50.00 per hour based on performance, autonomy, and ongoing mastery of tasks.

Key Responsibilities & Duties

  • Patient & Phone Relations: Confidently handling high-volume incoming phone calls and patient inquiries with maximum professionalism.
  • Appointment Scheduling: Managing comprehensive patient bookings, updating data fields, and keeping clinic workflows moving on time.
  • Financial Administration: Processing patient billing, processing Medicare or private health claims, and keeping clear records.
  • Surgical Coordination: Undertaking theatre bookings and coordinating directly with private hospitals.
  • Stakeholder Liaison: Acting as a professional point of contact for external medical specialists, hospital administrations, and clinical staff.
  • Diary Management: Directing surgeons' calendars, scheduling complex agendas, and handling personal assistant duties to the surgical team.

Key Requirements & Selection Criteria

  • Strong Communication Skills: Exceptional interpersonal, written, and high-level customer service capabilities.
  • Autonomy & Teamwork: A proven capacity to complete a diverse range of tasks under minimal supervision while remaining an collaborative, helpful team player.
  • Fast-Paced Adaptability: Excellent multitasking skills with a structured approach to working calmly in a high-volume workspace.
  • Tech Savvy: High computer literacy with an ability to learn medical practice software quickly.
  • Experience: Prior experience working within a specialist medical setting or acting as a personal assistant is highly regarded, but not mandatory. We care most about finding a reliable professional with a strong work ethic.

Pay: $35.00 – $50.00 per hour
