Administration Officer

Part-Time | Paediatric Allied Health | Penrith, NSW

Be the Heart of Our Clinic

At Aligned OT, we believe that every great therapy experience begins long before a child enters the therapy room.

We're looking for a friendly, organised and proactive Administration Officer to join our growing multidisciplinary team. If you enjoy working with children and families, thrive in a busy environment, and love variety in your day, we'd love to hear from you.

This is much more than a reception position. You'll play an important role in supporting our therapists, assisting families and helping our clinic operate efficiently every day.

About Aligned OT

Aligned OT is a paediatric allied health clinic providing Occupational Therapy, Speech Pathology and Dietetic services to children and their families.

Our team is passionate about delivering high-quality, family-centred care in a welcoming, supportive and collaborative environment. We pride ourselves on creating a workplace where staff feel valued, supported and encouraged to grow.

About the Role

As our Administration Officer, you'll help support the daily operations of the clinic by:

  • Welcoming children and families to the clinic.
  • Answering phone calls and responding to email enquiries.
  • Scheduling and managing appointments.
  • Processing referrals and new client enquiries.
  • Preparing service agreements and client documentation.
  • Processing payments and maintaining accurate client records.
  • Providing administrative support to Occupational Therapists and Occupational Therapy Assistants.
  • Preparing therapy resources and equipment for sessions.
  • Assisting with packing and unpacking therapy materials where required.
  • Ordering and maintaining clinic supplies.
  • Ensuring therapy rooms, reception and shared clinic spaces remain clean, organised and welcoming.
  • Assisting with general administrative and operational tasks that support the day-to-day running of the clinic.

About You

You'll be someone who:

  • Has excellent communication and customer service skills.
  • Is organised and able to manage competing priorities.
  • Has strong attention to detail.
  • Enjoys working in a collaborative team environment.
  • Is proactive and takes initiative.
  • Is confident using computers and learning new systems.
  • Takes pride in creating a warm and welcoming experience for families.
  • Has previous administration or reception experience (healthcare or allied health experience is highly regarded but not essential).

What We Offer

  • Permanent Part-Time position.
  • Monday to Friday (no weekend work).
  • A supportive and welcoming multidisciplinary team.
  • Structured onboarding and training.
  • Opportunities for professional development and career growth.
  • A modern, purpose-built paediatric clinic.
  • A rewarding role where you'll make a genuine difference to children and their families.
  • Remuneration in accordance with the Health Professionals and Support Services Award, based on experience and applicable classification.
