We are currently looking for a confident, organised and patient-focused Front Office Coordinator to join our Penrith team.

The Role

As the Front Office Coordinator, you’ll be one of the first and most consistent points of contact for our patients throughout their treatment journey.

This is an important role within the clinic, ensuring every patient feels welcomed, supported and confident while also keeping front-of-house operations running smoothly and efficiently.

Working closely with our Treatment Coordinators, clinicians and clinical support team, you’ll play a key role in managing patient appointments, supporting clinic flow and ensuring a seamless experience from consultation through to treatment completion.

Your responsibilities will include:

  • Welcoming patients and managing all front-of-house interactions, including check-in, check-out and enquiries via phone, email and in person
  • Coordinating appointments across consultations, diagnostics, surgery and follow-up care, including confirmations, cancellations, diary changes and waitlists
  • Working closely with Treatment Coordinators, clinicians and nursing staff to ensure seamless scheduling, patient logistics and efficient clinic flow
  • Ensuring patient details, documentation, consent forms and pre-appointment requirements are completed accurately
  • Maintaining accurate patient records, filing and compliance documentation within the practice management system
  • Processing payments, deposits and billing, while supporting invoicing and other finance administration as required
  • Acting as a key communication link between patients, clinicians and the wider support team, escalating concerns or operational issues appropriately
  • Maintaining a calm, professional and organised reception environment that reflects the high standard of patient care at Nova

About You

To be successful in this role, you'll ideally have:

  • Previous experience in dental, medical or specialist healthcare reception
  • Strong organisational and time management skills
  • Excellent attention to detail and accuracy
  • Confidence managing a busy appointment book and changing priorities
  • Excellent communication and interpersonal skills
  • A calm and empathetic approach when dealing with patients
  • Experience using digital systems and practice management software
  • A proactive and solutions-focused mindset
  • The ability to work well as part of a collaborative team
  • Experience within dental, specialist healthcare or a patient-focused clinical environment will be highly regarded.

Most importantly, you’ll be someone who genuinely enjoys helping people, takes pride in delivering exceptional service and can remain calm and organised in a fast-paced environment.
