Project Support Officer
Location: Parramatta (hybrid Parramatta office and work from home)
Employment type: Temporary Full-time up to 3 years
Salary: Clerk Grade 5/6, $99,938 to $110,271 pa, plus employer’s contribution to superannuation and annual leave loading
Your role
As a Project Support Officer, you will provide comprehensive day‑to‑day support across the project and program, including assisting the team with coordination of activities and deliverables, supporting systems and processes, and managing financial tracking and invoice processing. Maintains Smartsheet and other project reporting tools to monitor progress, track milestones, and produce accurate, timely reports for stakeholders. Performs governance and secretariat functions, including scheduling meetings, preparing agendas and briefing materials, capturing and distributing meeting minutes, and ensuring actions are tracked and closed out. Contributes to effective project delivery by maintaining organised documentation, supporting compliance requirements, and facilitating clear communication across stakeholders.
What you’ll do
As part of the Major Projects Team within Infrastructure and Assets, you will be responsible for but not limited to providing essential day‑to‑day support to the teams by coordinating administrative, financial, reporting and operational activities that keep the portfolio running smoothly.
Infrastructure & Assets, Major Projects is a high-performing, multidisciplinary team responsible for delivering complex capital works programs for the Department of Communities and Justice (DCJ). The team is recognised for its strong collaborative culture, working closely with internal stakeholders, industry partners, and service providers to achieve high-quality project outcomes.
Operating in a fast-paced and dynamic environment, the team adopts an agile approach to project delivery, enabling it to respond effectively to changing priorities and emerging risks. It brings together expertise across project management, design, procurement, and construction to ensure projects are delivered on time, within budget, and in line with strategic objectives.
The team is committed to excellence in governance, stakeholder engagement, and innovation, continuously seeking opportunities to improve processes, enhance efficiency, and deliver infrastructure that supports better service outcomes for the community.
What we’re looking for
The ideal candidate is highly organised, detail-oriented, and confident using a range of digital tools and systems, including Microsoft Office and Outlook. Experience in My Work Zone (MWZ), TRIM and SharePoint is desirable but not essential.
They bring strong administrative experience and can effectively manage competing priorities in a fast-paced team environment.
They are a collaborative team player who is flexible and willing to travel to project sites across the City CBD and Paramatta as required. While experience in infrastructure or capital works is advantageous, it is not essential.
A proactive and motivated learner, the candidate demonstrates a willingness to build new skills and adapt to changing project needs.
