Medical Receptionist — Garden Court Clinic, Marrickville

About the Role

Garden Court Clinic is seeking a friendly, organised, and detail-oriented Medical Receptionist to join our front-of-house team. This role is central to the smooth daily operation of the clinic, combining patient-facing reception duties with administrative coordination, including liaison with external drug and alcohol health services.

Key Responsibilities

Reception & Patient Services

  • Answer and manage incoming phone calls in a professional and courteous manner
  • Greet patients and visitors, providing a welcoming first point of contact
  • Book, reschedule, and confirm patient appointments for doctors
  • Manage the appointment book to ensure efficient patient flow and minimal wait times

Financial Transactions

  • Process patient payments accurately (cash, EFTPOS, Medicare, private billing)
  • Reconcile daily takings and maintain accurate financial records
  • Issue receipts and process refunds where required

Administration & Correspondence

  • Monitor and respond to clinic emails in a timely and professional manner
  • Receive and process notifications and correspondence from external drug and alcohol health centres
  • Maintain accurate, up-to-date patient records in the practice management system
  • Handle general clinic correspondence and filing

Urine Drug Testing (UDS) Coordination

  • Receive patients presenting for urine drug tests and manage sample collection logistics in line with clinic procedures
  • Collect and accurately record required patient information for drug testing purposes
  • Maintain confidentiality and chain-of-custody standards where applicable
  • Liaise with relevant pathology services or referring bodies as required

Skills & Experience

  • Previous experience in a medical reception or healthcare administration role preferred
  • Experience with practice management software (e.g. Best Practice, Medical Director, or similar) highly regarded
  • Strong verbal and written communication skills
  • High level of accuracy in handling money and patient information
  • Ability to maintain strict confidentiality, particularly regarding sensitive health information (drug and alcohol services)
  • Excellent organisational skills and ability to multitask in a busy clinic environment
  • Professional, empathetic manner when dealing with a diverse patient population

Requirements

  • Right to work in Australia
  • National Police Check (may be required, given sensitivity of drug/alcohol-related information)
  • Immunisation records may be requested in line with clinic policy

Pay: $28.00 – $30.00 per hour
