Are you an experienced Medical Secretary who thrives in a busy specialist practice and takes pride in delivering exceptional patient care?

We are seeking a professional, organised and compassionate Medical Secretary to join our Wesley specialist team, supporting Medical Oncologists and Haematologists. In this permanent full-time position, you will play a vital role in supporting patients throughout their cancer treatment journey while working alongside a highly experienced and supportive healthcare team.

*** As part of this role, you will spend one day per week supporting our specialist clinic in Ipswich. To support your travel, we provide a generous travel allowance. ***

About the Role
Reporting to the Administration Manager, you will provide high-quality secretarial and administrative support within a busy specialist practice. Acting as a key point of contact for patients, carers, referrers and clinicians, you will help ensure a seamless and compassionate experience while supporting the efficient day-to-day operation of our clinics.

While the majority of your time will be based at our Wesley location, you will also travel to our Ipswich clinic one day each week to support consulting specialists and ensure a consistent patient experience across both sites.

This role is ideal for a proactive and adaptable professional who excels in a fast-paced environment, manages competing priorities with confidence, and is committed to delivering exceptional customer service.

Key Responsibilities
  • Provide a warm and professional welcome to patients and visitors
  • Schedule and coordinate appointments across specialist clinics
  • Manage incoming calls and respond to patient enquiries with empathy and efficiency
  • Prepare consulting rooms and support clinic operations
  • Process patient billing, Medicare claims and private health insurance transactions
  • Coordinate and monitor patient administration throughout the treatment journey
  • Maintain accurate patient records, correspondence and documentation
  • Liaise effectively with patients, carers, referrers and healthcare professionals
  • Provide onsite administrative support at our Ipswich clinic one day per week
  • Support workplace health and safety compliance requirements
  • Contribute positively to team culture and uphold organisational values
About You
To be successful in this role, you will be highly organised, detail-oriented and able to maintain professionalism and accuracy in a busy clinical environment.

You will bring:
  • Previous experience as a Medical Secretary or Medical Receptionist, preferably within a specialist practice
  • Experience processing Medicare, DVA and Private Health Insurance claims
  • Excellent written and verbal communication skills
  • Strong organisational and time management abilities
  • A professional, compassionate and patient-focused approach
  • High attention to detail and accuracy
  • Proficiency in Microsoft Office applications, including Word and Excel
  • Experience using medical practice software and patient management systems
  • A sound understanding of medical terminology
  • The ability to travel to our Ipswich clinic one day per week
  • A collaborative mindset and commitment to exceptional service delivery
