Aussie Life Care is a growing and leading Registered NDIS Provider delivering high-quality disability support services across Victoria. We are currently seeking a highly organised, proactive, and professional Casual / Part- Time Rostering Coordinator to join our dynamic team.
This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and is passionate about ensuring participants receive reliable, person-centred support services.
As our organisation continues to expand, this position offers a genuine opportunity to transition into a permanent full-time role for the right candidate.
About the Role
The Rostering Coordinator plays a critical role in ensuring the effective coordination of staff rosters across our Supported Independent Living (SIL), Community Participation, Community Nursing, and other NDIS support services.
Working closely with Team Leaders, Care Coordinators, Support Workers, and Management, you will ensure participants receive reliable and consistent supports while maintaining operational efficiency and workforce compliance.
As Aussie Life Care provides services 24 hours a day, 7 days a week, the successful candidate will be expected to participate in an after-hours and weekend rostering support arrangement when required to ensure continuity of participant supports and service delivery.
Key Responsibilities
- Prepare and maintain staff rosters in accordance with organisational requirements and participant needs.
- Utilise Brevity CRM and rostering software to create, update, and manage staff schedules.
- Allocate shifts while considering staff availability, participant preferences, qualifications, compatibility, and travel requirements.
- Monitor and manage roster changes, cancellations, emergency shift replacements, and last-minute adjustments.
- Communicate effectively with Team Leaders, Coordinators, Support Workers, participants, families, and other stakeholders.
- Maintain daily roster coverage and proactively fill roster vacancies.
- Update and maintain staff availability, attendance preferences, and workforce records.
- Ensure timesheets are accurate, compliant, and submitted within required timeframes.
- Assist with payroll preparation through fortnightly timesheet reconciliation.
- Provide administrative support to operational teams as required.
- Foster a culture of teamwork, continuous improvement, and exceptional service delivery.
- Ensure all rostering practices comply with NDIS requirements, organisational policies, and relevant employment legislation.
- Respond to urgent roster changes, staff call-ins, and participant support requirements, including after-hours and weekend requests when required.
- Coordinate replacement staff for unplanned absences, emergency shifts, and short-notice roster vacancies.
- Monitor and manage after-hours phone calls, messages, and emails relating to staffing and service delivery.
- Assist in maintaining adequate staffing levels to ensure uninterrupted and high-quality participant support services across all programs.
- Participate in an after-hours and weekend rostering support arrangement as required to ensure continuity of care and service delivery.
Skills and Experience
To be successful in this role, you will possess:
- Demonstrated experience in rostering, workforce scheduling, staff coordination, or a similar administrative role.
- Previous experience within the NDIS, disability, aged care, home care, or community services sector.
- Strong organisational and time-management skills with exceptional attention to detail.
- Excellent communication and interpersonal skills.
- Strong problem-solving and decision-making abilities.
- High-level computer literacy and confidence using rostering and workforce management systems.
- Ability to work independently while contributing positively to a team environment.
- Ability to prioritise competing demands and meet deadlines in a fast-paced environment.
- Demonstrated commitment to professionalism, confidentiality, and ethical practice.
Essential Requirements
- Experience using Brevity Software (highly desirable).
- Previous NDIS rostering experience (preferred).
- Current NDIS Worker Screening Check.
- Current National Police Check.
- Current Working with Children Check (WWCC), or willingness to obtain.
- Evidence of COVID-19 vaccination (where applicable).
- Current Victorian Driver Licence.
- Full Australian working rights.
