About the Aged Care Quality and Safety Commission

The Aged Care Quality and Safety Commission is the national regulator of Australian Government-funded aged care services.

We protect and enhance the safety, health, wellbeing and quality of life of older people accessing aged care, including dealing with complaints and feedback about the care they receive.

About the team

Registration Operations is responsible for acting as a coordinating function between Audit and Registry to support the planning, coordination and delivery of regulatory activities. The section is also responsible for the publishing of provider information and provider corrections.

The Registration Operations section includes teams focused on the following:

  • Planning and coordinating the registration and audit programs
  • Coordinating publishing and correction of provider information (including the provider register)

Registration Operations will work closely with each of the teams within the section and collaboratively with the Audit and Provider registration sections to plan, coordinate and support delivery of the Registrar branch functions.

About the role

The Operations Support Officer, Registration Operations will provide administrative support to the Registrar Branch, contributing to effective planning and coordination of regulatory activities. Reporting to the Assistant Director, Programming , the role works closely with all teams within the Registration Operations Section and collaborates with the Audit and Provider Registration Sections to plan, coordinate and support the delivery of Registrar branch functions.

Position duties, include but not limited to:

  • Assist with coordinating the delivery of the Commission’s renewal program by preparing and sending invitation to renew letters, processing responses, and inviting providers to complete application forms.
  • Assist with coordinating the delivery of the Commission’s audit program by determining fees payable, arranging invoices and processing payments.
  • Assist with ensuring all applications and payments are received and where overdue, making phone calls to encourage payment or application submission.
  • Provide operations support to staff across the Registration and Audit sections., including preparation of insightful excel reports.
  • Support the registration operations section and leadership team to meet agreed priorities through administrative and procedural coordination of regulatory activities.
  • Support quality assurance processes by managing accurate storage, uploading and communication of regulatory information across Commission systems.
  • Build and maintain working relationships with stakeholders and liaise on moderately complex operational and administrative matters, escalating as required.
  • Contribute to maintaining and enhancing work practices, procedures, systems, and controls that support consistent regulatory outcomes and alignment with registration requirements.
  • Maintain accurate records and support data integrity across systems and processes to enable consistent regulatory outcomes, enhance the accuracy, efficiency and alignment of established operational workflows within the Audit group.
  • Undertake routine administrative tasks, including email correspondence management, calendar coordination, and meeting support such as minute-taking and secretarial requirements.
  • Assist in delivering projects and operational initiatives aligned with the Commission priorities under limited supervision.
  • Contribute to continuous improvement and demonstrate initiative to enhance the capabilities and outcomes of the Registrar Branch.

Position details

Salary offered will be between $83,159 - $87,869 per annum depending on skills and experience. In addition, 15.4% superannuation will be paid.
