We are seeking a highly organised and proactive Executive Assistant to support the Director, People Partnering & Services (PP&S).
In this role, you will provide high-level executive and administrative support for the People Leadership team, helping to ensure the smooth and efficient operation of the PP&S group and broader People function. Working closely with senior leaders and diverse stakeholders across CSIRO, you will play a critical role in delivering professional and effective support in a fast-paced environment.

We are seeking a highly organised and proactive Executive Assistant to support the Director, People Partnering & Services (PP&S).

Your high-level duties will include:
- Providing proactive diary, travel and meeting management support for the Director PP&S.
- Coordinating meetings, workshops and events, including scheduling, preparing agendas, documentation and presentations, and taking minutes where required.
- Preparing and drafting correspondence, briefing notes, reports, executive papers and presentations.
- Supporting procurement activities and assisting with expenditure monitoring and reconciliation.
- Maintaining electronic records and document management systems in line with CSIRO policies and records management requirements.
- Assisting with People-led programs, governance activities, steering committees and business initiatives.
- Conducting desktop research and preparing briefing materials and information reports.
Role particulars
Location: Clayton (VIC)
Salary: AU$100k – AU$113k per annum (pro-rata for part-time) + 15.4% superannuation
Tenure: Indefinite, Part-time (20 hours per week)

As the successful candidate, you will bring:
- Relevant certificate/diploma and/or equivalent relevant work experience providing high level administrative support.
- Strong organisational skills, with the ability to coordinate multiple tasks, meet deadlines and follow through on actions.
- Well-developed written communication skills, including drafting and reviewing correspondence, reports, presentations and executive papers.
- Proven ability to manage complex diaries, meetings, travel and competing priorities with sound judgement, discretion and responsiveness.
- Excellent interpersonal skills demonstrated by extensive experience establishing and maintaining positive internal and external stakeholder relationships.
- Demonstrated experience in providing executive assistance to a Senior Manager or an Executive in a fast paced and complex environment.
- Strong organisational skills with the ability to prioritise demands, proactively resolve and/or escalate matters so they are managed in a timely manner.
- The ability to work effectively in a team environment by collaborating with internal and external stakeholders, as well as sharing resources to accomplish objectives.
- Strong digital literacy with demonstrated proficiency in Microsoft Office applications including Word, Excel, PowerPoint, Outlook, SAP.
