Administrative Support Officer, Clerk Grade 3/4, SHQ Wollongong

About the opportunity
We are seeking a highly organised and professional Administrative Support Officer to provide comprehensive support to our Executive Support, Capability and Training team. This varied and rewarding role involves coordinating a broad range of administrative, diary management and business support activities, while working closely with two Assistant Commissioners to ensure the smooth and efficient operation of daily business functions.
Working with a high degree of autonomy and in close partnership with Staff Officers, you will coordinate administrative functions, manage competing priorities and provide high quality support to senior leaders. Key responsibilities include diary and meeting coordination, general administration, purchasing and procurement activities, travel arrangements and expense reconciliation, as well as the preparation of meeting agendas, papers and minutes.
You will also support stakeholder enquiries, records management, information gathering, briefings, correspondence and project coordination. The role may involve handling sensitive, confidential or time critical matters and contributing to agency operations during emergency response periods, in line with your skills, knowledge and capabilities.
This is an excellent opportunity for a proactive and adaptable professional who can build strong relationships, exercise sound judgement and deliver high quality administrative support in a dynamic and fast paced environment.

About you
To be successful in this role you will:
- Demonstrate exceptional attention to detail, initiative and sound judgement, along with a high degree of professionalism, strong communication and interpersonal skills.
- be confident building productive working relationships with a range of stakeholders and managing competing priorities in a fast-paced environment.
- Proficiency in Microsoft Office applications is essential, while experience with SAP would be advantageous but is not required.
- Thorough knowledge of AIIMS principles and processes, and/or willingness to obtain competence within 12 months
