About the Role:
We're a growing specialist medical practice with clinics at Nepean Private Hospital in Kingswood and our main practice in Drummoyne. We're looking for an experienced medical administrator to join our small, close-knit team as a senior member of the front-of-house and administration team.
Location & Training Requirement
Please note that the successful applicant will be required to travel to our Drummoyne clinic for training during the first 3 months of employment. After the initial training period, the role will be mainly based at our Kingswood clinic. You may also be required to travel to Drummoyne occasionally, such as when staff are sick or on leave.
Key Responsibilities
Medical Administration & Reception
- Be the professional first point of contact for patients, referrers and providers — phone, email, and in person
- Manage specialist clinic bookings, recalls, waiting lists and urgent appointments - Process referrals, update patient details and manage clinical correspondence accurately and promptly
- Coordinate billing and payments: Medicare, health fund and private invoices; assist with payment reconciliation and follow-up
- Liaise with hospitals, imaging centres and other health professionals to coordinate patient care
- Maintain a calm, organised and welcoming reception area
What We're Looking For
Experience
- Minimum 2 years in a medical administration, medical secretary or specialist practice role
Knowledge & Technical Skills
- Strong understanding of specialist practice workflows, referrals and patient pathways
- Familiarity with Medicare, health fund billing and appointment types (or the ability to pick this up quickly)

- Excellent communication skills with a warm, professional manner
- Highly organised, reliable and able to manage competing priorities in a busy environment
- Strong attention to detail — especially with data entry, billing and written communication
- Discreet and respectful of confidentiality at all times
- Proactive, mature and solutions-focused — you take ownership rather than waiting to be told

Pay: $30.00 – $41.00 per hour
