About the Role
As our Dental Receptionist / Patient Care Coordinator, you will be an important link between our patients and clinical team.
You will be responsible for creating a welcoming first impression, understanding patient needs, answering questions, and helping patients navigate their dental care.
A key part of this role is supporting patients considering dental implants and other complex treatments. You will need to understand the implant journey — from initial enquiry and consultation, through scans, treatment stages, appointments, and follow-up — so you can confidently communicate with patients and help them feel comfortable moving forward.
At the same time, you will manage conversations around all aspects of general dentistry, including preventive care, fillings, crowns, hygiene visits, cosmetic treatments, and ongoing dental maintenance.
Your Responsibilities Will Include:
Patient Care & Treatment Coordination
- Building strong relationships with patients and creating a positive experience from their first interaction
- Understanding patient concerns, goals, and expectations
- Explaining general dental procedures and treatment processes in a clear and reassuring way
- Supporting patients through their dental treatment journey
- Coordinating implant patients by helping them understand the treatment stages, appointment flow, and next steps
- Following up treatment plans and assisting patients with progressing their recommended care
- Communicating closely with dentists and the clinical team to ensure patients receive consistent support
Reception & Practice Coordination
- Welcoming patients and managing front desk enquiries
- Handling phone calls and patient conversations professionally and confidently
- Scheduling consultations, treatment appointments, recalls, and follow-ups
- Coordinating longer and multi-stage treatment appointments
- Processing payments, health fund claims, and CDBS
- Maintaining accurate patient records
- Helping ensure the practice runs smoothly and efficiently
Clinical Support (if required)
- Supporting the dental team when needed
- Understanding dental terminology, procedures, and workflows
- Assisting with general dentistry and implant-related processes
- Sterilisation and infection control processes
What We’re Looking For
We are looking for someone who:
- Has dental reception experience (minimum 1 year preferred)
- Has a strong understanding of general dentistry and dental procedures
- Can confidently communicate treatment information to patients
- Has experience with dental implants, surgical dentistry, or treatment coordination highly regarded
- Understands the importance of patient education and helping people make informed decisions
- Is comfortable discussing treatment plans and answering patient questions
- Is organised, reliable, and detail-focused
- Has excellent communication skills and a warm personality
- Enjoys working in a team environment and supporting others
Experience with dental software (EXACT highly regarded) would be an advantage.
