1. What would you advise a company that wants to protect its files against cyberattacks?
During a job interview, the hiring manager may want to test your knowledge of the standards and regulations in your field. Through asking you a question like this, they can test your technical knowledge and determine your level of awareness when it comes to cybersecurity. As a document specialist, you're likely to know various software that can help with protecting a company's files, which you discuss in your answer.
Example: 'Cybersecurity is one of the key concerns for me as a document specialist. If a company asked me for advice, I'd recommend that they secure their hardware by sharing passwords with device users only. It's also important that they start encrypting and backing up data, as this can help them recover important files. To prevent attacks from happening, it's critical that the company invests in specialised software and educates employees on the dangers of unsecured networks. For most organisations, I'd also recommend buying cybersecurity insurance.'
2. Apart from security, what are some basic challenges that a document specialist may face at work?
This question allows the interviewer to determine if you're comfortable performing standard document management tasks. It also shows them if you're aware of some disadvantages and challenges of the role. In your answer, explain one or various challenges that you've faced in the past and provide a helpful solution that helped you overcome them.
Example: 'Handling documents can be time-consuming, which is why I think one of the biggest challenges in this profession is making sure that I manage to complete all my tasks during a workday. 3. Describe a time when you made a mistake at work. How did you fix it?
Making mistakes at work is a natural thing. An interviewer may want to determine how you rectify them by asking you to describe a specific situation in which you failed at work. You can develop an effective answer to this question by using the STAR interview technique. As a result, you'd be able to describe the situation objectively, discuss your role in it, mention the mistake and clearly explain what you did to fix the mistake.
Example: 'Once, I was responsible for helping new employees set up and activate their accounts as a part of the onboarding process. Depending on their role and level of seniority within the organisation, I'd also give them access to specific groups of documents that they'd later use to do their job. One time, when I was setting up an intern's account, I accidentally granted them admin access to the entire department's files. This was a big mistake that could cost the company a lot because interns aren't usually aware of the advanced document handling procedures.
Luckily, I had developed a procedure which involved checking all the edits and changes that I'd made in the system before going home for the day. This wasn't time-consuming, but allowed me to make sure I didn't leave any open tasks overnight. During this process, I noticed that the intern's account had access to senior level information and quickly changed it. Then, I emailed the user to let them know about the change and sent them a list of the intern onboarding documents they gained access to after I fixed the mistake.'
4. Do you have any leadership experience?
