Key Responsibilities

Student Administration and Records Management

  • Manage student administration activities, including enrolments and maintenance of student records across student administration and academic areas.
  • Ensure all student data is accurately recorded, retained, and managed in accordance with approved organisational policies and procedures.
  • Maintain compliance with institutional policies, government regulations, and requirements of relevant regulatory bodies.
  • Ensure all student-related documents and records are accurate, complete, and filed in a timely and appropriate manner.

Enrolment and Academic Administration

  • Coordinate enrolment and re-enrolment activities in collaboration with internal teams and partner providers.
  • Liaise with the IT department regarding timetables, unit setup, and staffing requirements during student intakes.
  • Provide training and guidance to academic administration staff to enable them to deliver accurate and consistent enrolment-related information to staff and students.
  • Ensure academic administration staff provide accurate, timely, and comprehensive advice regarding enrolments, course requirements, credit transfers, and general administrative enquiries.
  • Monitor student course progress and process enrolment variations including deferments, cancellations, suspensions, and extensions as required.
  • Input and maintain student data in aXcelerate and ensure accurate reporting and status updates in PRISM.
  • Support the IT team in managing and maintaining student data systems, particularly aXcelerate.

Student Support Services and Welfare

  • Coordinate and support student service streams including orientation, student welfare, counselling, student events, and support services.
  • Provide accessible, accurate, timely, and comprehensive information and advice to students.
  • Identify and support students at risk, including those requiring welfare, counselling, or additional support interventions.
  • Coordinate student engagement activities, events, and support programs to enhance student wellbeing and participation.

Student Experience and Outcomes

  • Enhance the student experience from application through to graduation and beyond by implementing initiatives such as:
  • First-year transition programs
  • Buddying, mentoring, and study support programs
  • Student experience monitoring and improvement initiatives
  • Graduate destination and satisfaction activities
  • Alumni engagement and development
  • Industry engagement and student networking opportunities
  • Coordinate and manage international student surveys using an integrated and structured approach.
  • Work collaboratively with internal departments to plan, develop, implement, and evaluate student engagement programs and support activities.
  • Ensure programs and services are inclusive and responsive to student diversity, including cultural background, skills, and preparedness for study.

Professional Development

  • Participate in ongoing learning and professional development activities, including relevant training programs and workshops.
  • Assist in the development and delivery of student administrative workshops and information sessions.

Qualifications, Attributes and Skills

  • Completion of a relevant tertiary qualification.
  • Demonstrated experience in student services within an educational or training environment.
  • Experience in enhancing student engagement and student experience.
  • Excellent written and verbal communication skills.
  • Strong cultural awareness and sensitivity to working with students from diverse backgrounds.
  • Strong customer service focus with a genuine commitment to supporting students.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
