Contract Administrator / Program or Project Administrator
Brisbane QLD

Primary Role

Plan, undertake and support administration of contracts relating to rail projects and support services within the Company


Responsibilities

  • Have a good working knowledge of project related administrative work
  • Support contract review of supplier, client and subcontractors’ contracts
  • Manage and provide support for Contract administration and management of supplier, client and subcontractors contracts
  • Correspondence with client and respond to any inquiries from client regarding contract
  • Provide feedback & weekly reports, ensure timely execution of work assigned, and manage appropriate documentation and all other tasks assigned
  • Assist in managing contracts document control process
  • Assist with competency, licensing and membership of workers, contractors and staff
  • Assist with company tendering process for projects
  • Negotiate variation and/or assist Contracts/Projects Manager with negotiation to vary terms of new and existing contracts?
  • Maintain written and electronic documentation and correspondence regarding our projects
  • Prepare materials for design and construction meetings, record meeting minutes
  • Provides support to the implementation of contracts and projects, focusing on achievement
  • Prepares correspondences, translation of documents and research relating to relevant contracts as requested.
  • Support administrative tasks related to contract execution and distribution.
  • Support the Contracts/Project Manager in relation to routine implementation of contracts and projects.
  • Responding to inquiries and resolving problems concerning contracts, programs, projects & services provided.
  • Preparing and reviewing submissions and reports concerning the organisation's activities collecting and analysing data associated with projects undertaken, and reporting on project outcomes
  • Support travel arrangements related to projects and for the programme unit (preparation of Travel Authorizations, follow-up of travel reports, etc)
  • Perform any other tasks assigned by the Contracts/Project Manager relating to client contract
  • Compliance with Standards, Specification, Work Scope
  • Compliance with Quality, Competency, OHS, Environmental and Safety requirements

Knowledge/Experience Requirements:

  • Minimum of 3 years' experience in supporting the implementation of projects.
  • Previous experience in the organization of meetings and events.
  • Experience in the usage of computers and office software packages (MS Word, Excel, Power Point, etc.
  • Demonstrated capacity to undertake assigned responsibilities and work under pressure.
  • An excellent team player.
  • Highly developed communication and negotiation skills

Education:

Diploma or Advanced Diploma in administration, social sciences, international relations or related area or suitable experience to meet the requirements.
