Administration Officer

Part-Time | Paediatric Allied Health | Penrith, NSW

At Aligned OT, we believe that every great therapy experience begins long before a child enters the therapy room.

We're looking for a friendly, organised and proactive Administration Officer to join our growing multidisciplinary team. If you enjoy working with children and families, thrive in a busy environment, and love variety in your day, we'd love to hear from you.

This is much more than a reception position. You'll play an important role in supporting our therapists, assisting families and helping our clinic operate efficiently every day.

Aligned OT is a paediatric allied health clinic providing Occupational Therapy, Speech Pathology and Dietetic services to children and their families.

About the Role

As our Administration Officer, you'll help support the daily operations of the clinic by:

  • Welcoming children and families to the clinic.
  • Answering phone calls and responding to email enquiries.
  • Scheduling and managing appointments.
  • Processing referrals and new client enquiries.
  • Preparing service agreements and client documentation.
  • Processing payments and maintaining accurate client records.
  • Providing administrative support to Occupational Therapists and Occupational Therapy Assistants.
  • Preparing therapy resources and equipment for sessions.
  • Assisting with packing and unpacking therapy materials where required.
  • Ordering and maintaining clinic supplies.
  • Ensuring therapy rooms, reception and shared clinic spaces remain clean, organised and welcoming.
  • Assisting with general administrative and operational tasks that support the day-to-day running of the clinic.

About You

You'll be someone who:

  • Has excellent communication and customer service skills.
  • Is organised and able to manage competing priorities.
  • Has strong attention to detail.
  • Enjoys working in a collaborative team environment.
  • Is proactive and takes initiative.
  • Is confident using computers and learning new systems.
  • Takes pride in creating a warm and welcoming experience for families.
  • Has previous administration or reception experience (healthcare or allied health experience is highly regarded but not essential).
