Full job description
Optimal Health Medical Centre Gregory Hills is seeking expressions of interest for a planned permanent part-time Medical Receptionist role.
As part of our ongoing workforce planning, we are reviewing reception coverage at Gregory Hills and looking to connect with suitable candidates who may be a good fit for our team.
The final roster is still being confirmed, however we expect the role to be approximately 15 to 25 hours per week. Applicants will be asked to provide their availability and preferred weekly hours as part of the recruitment process. Final days, hours and start/finish times will be confirmed in writing before any offer of employment is made.
Pay rate: From $29.11 per hour, with the final rate dependent on experience and classification.
Gregory Hills is a busy and well-established general practice with a strong focus on patient care, teamwork and continual improvement. Our reception team is a key part of the practice, and we are looking for someone who will bring a positive attitude, reliability and professionalism to the team.
This role would suit someone who enjoys working with people, communicates clearly, and can stay organised in a busy environment. We value team members who are willing to learn, support those around them, follow processes carefully, and take pride in providing a high standard of service to patients.
About the role
As a Medical Receptionist at Optimal Health, you will be an important part of the day-to-day running of the practice. You will work closely within our reception team with doctors, nurses and management to help keep the practice running smoothly and ensure patients are supported from the moment they contact or arrive at the practice.
This is a varied role that involves patient-facing work, phone enquiries, billing, bookings and general administrative support. It would suit someone who enjoys being part of a team, can stay organised in a busy environment and takes pride in providing a positive experience for patients.
Key responsibilities include:
- Welcoming patients and assisting with front desk enquiries in a professional and friendly manner
- Answering phone enquiries and managing appointment bookings
- Supporting patient flow and keeping patients informed of appointment delays where needed
- Processing payments, Medicare claims, private billing and receipting
- Maintaining accurate and confidential patient records
- Supporting doctors, nurses and the Practice Manager with day-to-day operational needs
- Assisting with recalls, follow-up tasks and other administrative workflows
- Following practice policies, procedures and accreditation requirements
- Helping maintain a clean, organised and safe reception environment
- Identifying and escalating issues appropriately, including patient concerns, equipment faults or workflow issues
About you
We are looking for someone who is reliable, organised and comfortable working in a busy general practice environment. You do not need to know everything on day one, but you do need to be willing to learn, follow processes carefully and work well with others.
To be successful in this role, you will ideally have:
- Previous medical reception experience, strongly preferred
- Experience using Best Practice, highly regarded
- Experience with Medicare claiming, Tyro, Automed or similar systems, highly regarded
- Strong communication and customer service skills
- Good attention to detail and accuracy
- A calm and professional approach when the practice is busy
- Reliability, professionalism and a strong work ethic
- Ability to follow processes and complete tasks properly
- Confidence communicating with patients from a diverse range of backgrounds
- Ability to work both independently and as part of a team
- A strong understanding of patient confidentiality
After training has been completed, the successful applicant will need to be comfortable working independently at times, including managing reception responsibilities during quieter periods or closing shifts. Flexibility to assist with weekend coverage when required will also be important.
This role is well suited to someone who understands that medical reception is more than answering phones. It is a key role in the patient experience and requires accuracy, good judgement, confidentiality, teamwork and the ability to keep things moving in a busy environment.
Hours and availability
This is an expression of interest for a planned permanent part-time role. The final roster is still being confirmed, however we expect the role to be approximately 15 to 25 hours per week.
Applicants should include their general availability across the week, including any availability for opening shifts, closing shifts and occasional weekend coverage. Our current opening hours can be found on our website: www.optimalhealthmedicalcentre.com.au
The successful applicant will need to be comfortable working one closing shift per week once training has been completed.
Weekend coverage is not expected to be the main part of this role, however flexibility to assist during periods of planned leave or unexpected absences would be highly regarded. We value a team approach and try to support each other with coverage where possible.
Final days, hours and start/finish times will be confirmed in writing before any offer of employment is made.
How to apply
Please submit your resume and a brief cover letter outlining:
- Your previous medical reception or healthcare administration experience
- Your availability
- Your preferred number of hours per week
- Any availability for opening shifts, closing shifts or weekend coverage
- Any experience with Best Practice, Automed, Tyro or Medicare claiming
- Your earliest available start date
Only shortlisted applicants will be contacted.
Pay: $29.11 – $30.45 per hour
