JOB SUMMARY

The Project Coordinator supports project managers and field teams by ensuring smooth project execution from initiation through closeout. This role handles logistics, documentation, procurement, and financial support activities that keep high-voltage projects running efficiently. The ideal candidate is detail-oriented, organized, and capable of managing multiple priorities in a fast-paced environment. In this role, an employee will be expected to develop and demonstrate proficiency regarding the essential functions of the job listed below.
ESSENTIAL FUNCTIONS

• Manage shipping and receiving of project materials, tools, and equipment.
• Maintain test equipment tracking, including calibrations, assignments, and returns.
• Coordinate rental equipment procurement, ensuring availability and cost-effective sourcing.
• Create, process, and maintain purchase orders for materials, rentals, and services.
• Support project setup and opening, including documentation, job folders, and internal systems.
• Assist with invoicing, ensuring accurate billing and timely submission.
• Provide support for accounts payable and accounts receivable, including coding invoices and tracking payments.
• Oversee time & expense support, ensuring accurate entry, approvals, and compliance with company policies.
• Collaborate closely with project managers, field technicians, vendors, and internal departments to keep projects on schedule.

EDUCATION/EXPERIENCE/QUALIFICATIONS

• Prior experience in project coordination, construction administration, or related operations role preferred.
• Strong organizational skills with the ability to manage multiple tasks and deadlines.
• Proficiency with Microsoft Office and willingness to learn industry-specific software.
• Excellent communication skills and a proactive approach to problem-solving.
• Ability to work independently and as part of a team in a dynamic environment.
• Pass E-Verify or other government eligibility screening.

WORKING CONDITIONS

• Must be able to remain in a stationary position 50% of the time.
• The person in this position needs to occasionally move about inside the office to access file cabinets, printers, fax machines, etc.
• Constantly operates a computer and other office productivity machinery.
• The person in this position frequently communicates with other office staff.
