Medical Education Officer (MEO)

• Ongoing, part time role – 40 hours per fortnight
• Parkville location with flexible, hybrid working
• $130k - $159k (prorated for part-time) + salary packaging + super + five weeks annual leave

About the team
The Department of Medical Education sits within the Chief Medical Officer Directorate and plays a critical role in supporting the education, development and success of Peter Mac's medical workforce. The team partners with clinicians, educators, universities, regulatory bodies and healthcare stakeholders to coordinate high-quality education, training and accreditation activities that support junior and senior medical staff across the organisation.

About the role
The Medical Education Officer is a key member of the Department of Medical Education, responsible for coordinating, delivering and evaluating education and training programs for medical staff. This role supports the seamless operation of medical education activities, ensuring compliance with organisational and accreditation requirements while fostering an exceptional learning experience for trainees and medical students. The position also oversees medical student placements, observerships and work experience programs and works closely with clinicians, trainees and external partners to drive education excellence.

A regular day will see you:

• Coordinating medical education programs, teaching sessions, orientation activities and training events for junior and senior medical staff.
• Managing trainee administration, records, compliance requirements and accreditation documentation.
• Liaising with clinicians, medical staff, universities, PMCV and other external stakeholders to support education initiatives.
• Coordinating medical student placements, observerships and related learning programs while contributing to quality improvement activities.

Position Summary

The Medical Education Officer is the core member of the Department of Medical Education. This role is responsible for the coordination, delivery and evaluation of education and training programs for medical staff, ensuring activities run efficiently and in accordance with organisational policies and accreditation requirements.

Key responsibilities include coordinating teaching sessions, meetings and events, managing schedules and room bookings, preparing correspondence, reports and presentation materials and maintaining accurate trainee records and databases, supporting recruitment and onboarding processes for junior medical staff, liaising with clinicians, educators and external stakeholders and assisting with accreditation documentation and compliance activities.

The Medical Education Officer also has oversight of core medical student placement and discovery programs from the University of Melbourne Doctor of Medicine program, medical elective students, medical observerships and work experience students wanting medical placements.

This position requires strong leadership and organisational skills, attention to detail, discretion in handing confidential information and the ability to manage competing priorities in a busy clinical education environment.

Essential Requirements

1. Program co-ordination

Design, deliver and evaluate various medical education program initiatives for Hospital Medical Officers (HMOs), registrars, fellows and senior medical staff across Peter Mac. The MEO works closely with Director Clinical Training (DCT), training leads, Chief Medical Officer (CMO) and divisional leadership to support the co-ordination and delivery of medical education programs, teaching sessions, orientation and training activities.

The MEO is responsible for the organisation and delivery of orientation and relevant training to facilitate a safe and effective transition of Junior Medical Staff throughout the year.

2. Education and Training development and delivery The MEO may be involved in the development and delivery of various medical training content. This includes asynchronous online training (eg. e-Learning modules on Learning Management System), face-to-face training and virtual/hybrid training.
3. Trainee Administration and Support

Maintain accurate records for education and training of junior medical staff, including orientation, mandatory training, and other compliance data.

The MEO may also be officially or unofficially involved in supporting the wellbeing and effective performance of Junior Medical Staff.

4. Accreditation and Compliance Support Assist with the preparation and collation of documentation for accreditation (such as the National Safety and Quality Health Service (NSQHS) accreditation, Post-graduate Year two accreditation with PMCV, etc.) processes, audits and regulatory reporting requirements.
5. Stakeholder Liaison

Internally the MEO acts as a key contact for clinicians, trainees, hospital departments and Executive team ensuring timely and professional communication.

Externally, the MEO works closely with the PMCV, the Department of Health as well as other relevant organisations/partners as relevant.

6. Quality Assurance

The MEO may be involved in quality assurance processes related to medical staff. This may include assessments, audits, risk assessments and management quality improvement and research projects. The MEO may also be responsible for or contribute to relevant policies and procedures related to medical staff as relevant.

The MEO may be involved in various education and training or other committees where appropriate.

7. Medical student coordination The MEO is responsible for medical student placement programs from University partners, primarily the Doctor of Medicine (MD) program from the University of Melbourne, and elective placement programs.
