Job Description


About You:

You will work within the Theatre Scheduling & Administration team, providing high-quality administrative and theatre scheduling support. This role combines front-line reception and administration duties with dedicated theatre scheduling responsibilities, requiring strong organisational capability, attention to detail, and the ability to coordinate complex procedural lists.

You will also be confident in delegating tasks to other administration staff to ensure theatre scheduling responsibilities are completed efficiently and accurately.

Your responsibilities will include:

  • Coordinating daily theatre schedules and managing last-minute changes.
  • Building strong working relationships with doctors, nurses and clinical staff.
  • Scheduling patients based on procedure requirements and operational guidelines.
  • Applying scheduling principles including prioritisation, procedure complexity, timing and doctor preferences.
  • Performing accurate data entry including patient, Medicare, medical and health fund details.
  • Updating appointment and theatre times as required.
  • Liaising with clinicians regarding missing or incomplete information.
  • Performing final checks to minimise scheduling and documentation errors.
  • Troubleshooting scheduling conflicts and workflow issues.
  • Coordinating with doctors, nurses and external providers to support smooth theatre operations.
  • Preparing and managing procedure documentation and patient records.
  • Providing reception support to patients, visitors and phone enquiries.
  • Completing admissions and discharges.
  • Maintaining patient records and processing payments and claims.
  • Managing bookings, documentation and general administrative tasks.
  • Communicating appointment, admission and financial information to patients.
