This is a rare opportunity to join a brand-new general practice – opening August – and help shape what a great clinic looks like from the ground up. If you're an experienced medical receptionist who takes genuine pride in your work, values a supportive team culture, and wants to be truly appreciated, we want to hear from you.

We're a beautiful new general practice in Elwood, led by established GPs who understand that exceptional patient care starts at the front desk. You're not just filling a seat – you'll be an integral part of building our practice culture, refining our systems, and creating the warm, professional experience our patients will come to rely on.

About the Role

This is a hands-on, rewarding position that blends front-desk patient care with meaningful behind-the-scenes contribution. You'll be a trusted point of contact for our patients, a key support to our clinical team, and a valued voice in how we grow and improve.

This is a permanent part-time role of 20 hours/week, with an option to expand as the clinic grows.

Key responsibilities include:

  • Welcoming patients with warmth and professionalism, ensuring every visit starts on the right note
  • Managing appointment books, recalls, and reminders with accuracy and care
  • Answering calls, triaging enquiries, and coordinating scheduling efficiently
  • Processing payments, Medicare and DVA billing with confidence and precision
  • Maintaining accurate patient records and upholding strict confidentiality
  • Supporting doctors and nurses to ensure smooth, efficient patient flow
  • Contributing to the setup, improvement, and ongoing refinement of practice systems
  • Helping foster a calm, organised and positive clinic environment

About You

You'll bring:

  • Proven experience in medical reception or healthcare administration
  • A genuine passion for patient care and customer service excellence
  • Solid knowledge of Medicare, DVA billing and health fund processes
  • Confidence with practice management software – Best Practice experience highly regarded
  • Strong computer literacy across Microsoft Office and general admin systems
  • Excellent organisational skills, attention to detail, and the ability to prioritise
  • A professional, respectful approach and a natural team-first attitude
  • The initiative to contribute ideas and help a new practice grow

Essential selection criteria

  • Minimum 2 years' experience as a medical receptionist in a GP practice
  • Exceptional verbal and written communication, showcasing compassion, attention to detail, and composure
  • A demonstrated respectful team approach with a passion for quality improvement
  • Available for permanent shifts on Monday, Friday and Saturday

Desirable selection criteria

  • Confidence in using Best Practice Software
