Are you trained as an Enrolled Nurse or healthcare professional looking for a role where you can use your clinical knowledge without providing direct patient care?

Access Aged Care is looking for a Clinical Data Coordinator to support our national clinical quality registry.

This is a non clinical role focused on reviewing health records, interpreting clinical information and ensuring high quality data is accurately captured in our Registry. You will also take responsibility for coordinating data collection activity, monitoring completion and supporting our casual Data Collectors.

Current AHPRA registration is not required.

About Access Aged Care

Access Aged Care delivers a co-managed model of care within Residential Aged Care Homes, bringing together GPs, nurses, geriatricians and specialist teams to improve continuity of care, reduce avoidable hospitalisations and improve outcomes for older Australians.

Our Access Aged Care Clinical Quality Registry (AACCQR) collects clinical and healthcare utilisation data to measure outcomes, identify opportunities for improvement and support continuous improvement across our services.

The role

Reporting to the Nurse Regional Manager (NRM), you will have a combination of hands on data collection and coordination responsibilities.

You will review patient records and other clinical information and enter relevant data into the Registry in accordance with established definitions and procedures.

Importantly, you will also help oversee the data collection process. You will monitor collection rates and data accuracy, identify where collection activity needs to occur, coordinate casual Data Collectors and help ensure required data collection is completed.

This is not a traditional Team Leader position, but you will be expected to take ownership of the data collection workflow and provide support and guidance to casual team members.

Your responsibilities will include:

• Reviewing clinical records and identifying information required by the Registry
• Accurately entering diagnoses, medications, hospital events and other clinical data
• Monitoring data collection rates, completion and accuracy
• Planning and coordinating where data collection activity needs to occur
• Scheduling casual Data Collectors according to collection requirements and priorities
• Providing day to day support and guidance to casual Data Collectors
• Monitoring progress and identifying areas where additional collection activity is required
• Checking Registry records for completeness, accuracy and consistency
• Identifying and following up missing or unclear information
• Applying Registry definitions and data entry rules consistently
• Liaising with nurses and other team members to clarify information where required
• Supporting routine data quality and validation activities
• Maintaining appropriate privacy and confidentiality when handling sensitive health information
• Contributing ideas to improve Registry data quality, collection processes and overall completion rates

About you

You do not need to be currently working as a nurse, but you will need enough clinical knowledge to confidently understand medical terminology and clinical records.

You will also need to be comfortable taking responsibility for an ongoing body of work. Rather than simply completing the data allocated to you, we need someone who will keep an eye on the overall collection numbers, identify gaps and help coordinate what needs to happen next.

You will be organised, comfortable working independently and confident providing guidance to others when required.

As this is a remote role dealing with highly confidential and sensitive information, you will need to have a private area to work.

The salary is not based on your nursing level. This is a data coordination position and is paid as an administrative role.

We would particularly like to hear from people who have:

• A qualification or background in nursing or another relevant healthcare discipline. Enrolled Nurse training is sufficient
• A good understanding of medical terminology, diagnoses and medications
• Experience reading or working with clinical records
• Excellent attention to detail and a strong commitment to accuracy
• Strong organisational and coordination skills
• The ability to monitor progress, identify gaps and follow work through to completion
• Confidence supporting and providing guidance to other team members
• Confidence using computer systems and learning new databases
• The ability to work independently and take ownership of priorities
• An understanding of patient confidentiality and privacy
• Clear communication skills and the confidence to ask questions when information is unclear

Experience in residential aged care, general practice, hospital care, clinical audit, quality improvement, health information management or clinical registries would be highly regarded.

Experience coordinating workloads, scheduling casual staff or supporting a small team would also be advantageous.

Experience with electronic medical records, clinical databases, Castor EDC, REDCap or Excel would be beneficial, but is not essential.
