We are a modern, progressive 6-chair purpose built general dental practice equipped with high-quality technology , and we are seeking an experienced and motivated Front Office Manager / Treatment Coordinator to support our growing team. Collaborate closely with the Practice Principal, Practice Manager and Front Office Coordinators.

About you

  • Minimum 5 years' experience in dental front office, clinical assisting, or treatment coordination
  • Certificate III or IV in Dental Assisting (highly desirable)
  • Strong organizational skills, attention to detail, and problem-solving ability
  • Prior experience specifically as a Treatment Coordinator is essential for this role.
  • Experience with dental practice management software is essential.
  • Comfortable working extended hours on Tuesdays and Thursdays, and Saturdays as required
  • Willingness to adapt to new processes, coaching, and continuous improvement
  • Ability to support, coach and train team members and collaborate effectively

Key Responsibilities – Dental Front Office Manager

  • Lead Front Office Operations

Oversee all front office and administrative functions to ensure the practice front office runs smoothly, efficiently, and in alignment with organizational standards.

  • Drive Performance & Results

Monitor and analyze KPIs, performance metrics, and practice goals. Implement strategies to improve productivity, patient flow, and overall practice performance.

  • Recruitment, Onboarding & Training

Ensure comprehensive training to support staff success and retention.

  • Financial Management: Collaborate with the finance team to manage production/Expenses.
  • Compliance & Regulatory Management

Ensure all practice operations adhere to relevant dental, healthcare, and workplace regulations. Maintain accurate documentation and up-to-date compliance protocols.

  • Treatment Plan Presentation & Patient Financial Coordination

Deliver treatment plans to patients, clearly explain recommended care, and assist patients with understanding their options. Provide guidance on payment options, financing solutions, and insurance coverage to support informed decision-making and treatment acceptance.

  • Team Leadership & Collaboration

Foster a positive, supportive work environment. Encourage collaboration between clinical and administrative teams, promoting high morale, engagement, and accountability.

  • Relationship Building

Cultivate strong, trusted relationships with both patients and staff. Maintain open communication to enhance patient satisfaction and team cohesion.

  • Lead Effective Meetings

Conduct engaging team meetings that align the team around goals, share performance insights, and reinforce priorities and expectations.
