Where you'll be working:
The Paediatric Outpatients Department at John Hunter Children’s Hospital is a large, multidisciplinary service providing specialist care to children and families across the Hunter New England region. The department supports a wide range of paediatric specialties and works closely with medical, nursing, and allied health teams to deliver coordinated, family-centred care.
The Outpatients team is fast-paced and highly collaborative, with a strong focus on communication, efficiency, and patient experience. Administrative and phone-based roles are central to ensuring patients are appropriately booked, triaged, and supported throughout their outpatient journey. The service is located within John Hunter Hospital in Newcastle, offering access to a major tertiary referral centre and a supportive healthcare network.
About the role:
The successful candidate will be responsible for managing a high volume of incoming and outgoing phone calls within the Paediatric Outpatients Department. This includes booking and rescheduling appointments, responding to enquiries from families and carers, liaising with clinicians, and ensuring accurate data entry into hospital systems.
Daily tasks include managing clinic schedules, processing referrals, maintaining waitlists, and providing clear and compassionate communication to families.
The role requires strong organisational skills, attention to detail, and the ability to prioritise competing demands in a busy environment.
The position works closely with clinical and administrative staff and reports to the Paediatric Outpatients Operational Manager. This role will be shared between two candidates in a job share arrangement.
About you:
The ideal candidate is highly organised, adaptable, and able to remain calm under pressure. They demonstrate excellent communication skills, with the ability to engage empathetically with children, parents, and carers. A strong customer service focus and attention to detail are essential.

New staff will receive structured onboarding, including orientation to hospital systems, workflows, and department processes. Ongoing support is provided by experienced team members and supervisors.
Training includes system training, policy education, and opportunities to build knowledge in outpatient services. Continuous learning is encouraged, and staff are supported to develop their skills over time.
