General information
Description & Requirements
Being in a business support role at Australia Post means helping our people deliver for every Australian. Just like our Posties, you’re still the people behind every parcel. Whatever your team or role, you’re helping grow our people, grow our business and making a lasting impact on the Australian community. You’ll find a culture of connection in our great people and the flexibility to balance work with life outside of it.
About the opportunity
The Executive Assistant to the EGM Strategy & Transformation is a trusted partner who helps maximise leadership effectiveness through proactive executive support, seamless coordination and strong governance. Connecting people, priorities and information, you’ll enable the EGM and leadership team to stay focused on delivering a safe, efficient and high-performing operation.
This is a great opportunity to work closely with senior leaders, build strong relationships across the organisation and play an important role in keeping a busy Strategy & Transformation function connected, organised and moving forward.
What you’ll deliver with us
Commercial & Strategic Priorities
- Provide proactive executive support to the EGM and Strategy & Transformation leadership team, including complex diary management, travel coordination, meeting scheduling and coordination of key team rhythms and leadership forums
- Coordinate stakeholder engagement and team communications, managing incoming correspondence and liaising with senior leaders and key stakeholders on behalf of the EGM
- Manage day-to-day business administration, including central inboxes, distribution lists, organisational data, office resources and timely resolution of team enquiries
- Coordinate leadership meetings, forums and governance activities, including preparing agendas, taking minutes, tracking actions and maintaining accurate and confidential records
- Support financial and procurement processes, including invoice processing, purchase order administration, Bcard reconciliations and payment tracking
- Help ensure administrative, financial and governance activities are completed accurately, efficiently and in line with business requirements
About you
You’re an experienced Executive Assistant or senior administration professional who knows what it takes to support senior executives in a complex and fast-paced environment. A natural self-starter, you’re great at joining the dots, anticipating what’s needed and getting things done. You take pride in keeping your executive organised, staying one step ahead and ensuring priorities, people and commitments come together seamlessly.
You bring a strong people focus to the role. You’re intuitive, empathetic and able to read the room, building trusted relationships with other EAs, senior leaders and stakeholders across the organisation. You understand that a fantastic EA is often the glue that holds things together, helping others succeed while calmly juggling competing priorities and finding practical ways to make things work.
You will also bring:
- Extensive experience providing a broad range of executive and administrative support to senior leaders
- Strong diary management skills, with the judgement to anticipate priorities, manage competing demands and keep senior leaders organised
- A proactive, self-directed approach and the ability to see tasks through to completion with minimal supervision
- Excellent interpersonal skills, empathy and an intuitive understanding of people and stakeholder needs
- The ability to build collaborative relationships across the EA community and with stakeholders at all levels
- Excellent time management, planning and organisational skills
- Highly developed written and verbal communication skills
- Advanced Microsoft Office skills, including Word, PowerPoint, Excel and Outlook
- A high degree of proficiency with business applications such as SAP and SharePoint
- Sound judgement and discretion when managing sensitive and confidential information
What else is in it for you?
- Bring your whole self to work every day and be met by a welcoming bunch of people who respect and support you
- Flexible and hybrid working arrangements, like the opportunity to work from home two days per week
- Opportunities for growth and development through formal programs or mentorship
- Exclusive team member discounts and offers for more cash in your pocket, evolving policies for flexible working, leave types and access to health and wellbeing resources
All walks, one route
It takes a lot of us to deliver for every Australian – and it’s important to us that our people behind the parcels reflect the people receiving them. We come from all walks. Different backgrounds, different ages, different genders, different sexualities and different abilities, but we all believe in the same purpose.
We welcome people all ages, genders and backgrounds – including Aboriginal and Torres Strait Islander peoples, people with disability, LGBTQIA+ communities, and refugees. We’re a Disability Confident Recruiter, committed to making our hiring process and workplace inclusive and barrier-free. We’re also working hard to remove bias and build a gender-equitable experience for everyone who joins us. If you’ve got questions about accessibility, reach out to our Diversity & Inclusion team at inclusivecareers@auspost.com.au or on 03 8737 9415.
