Total package $102,514– $111,740 per annum, including 15.4% superannuation (Base salary $88,834 - $96,829 p.a., plus 15.4% superannuation)

Position Overview
The Administration Support Officer will provide support to the Director of Indigenous Operations, Policy and Support (the Director IOPS), the Assistant Director of Indigenous Operations, Policy and Support (the Assistant Director IOPS), the National Indigenous Family Liaison Officers, the IFLOs, and may also provide IFLO program-related support to the Chief Executive Officer and Principal Registrar’s office. .

The Administration Support Officer provides administrative and process/policy support and assistance to the Director IOPS and the Assistant Director IOPS to develop, improve and implement operational frameworks in the IFLO space.

This includes carrying out a wide variety of administrative tasks, drafting high level documents, supporting the strategic development of key initiatives (including recruitment), supporting key events and meetings, and coordinating and liaising with a broad range of internal and external stakeholders.

Additional hours or days may be required during external engagement events, and other leadership commitments where travel is involved and support may be required, whereas fewer hours may be required at other times.

Duties
The Administration Support Officer role is an administrative and operational support role and will primarily involve:

  • Assisting the Director IOPS and the Assistant Director IOPS with day-to-day functions in the IOPS operations space, including administrative support such as inbox management, diary management, maintaining oversight into projects and providing timely progress updates.
  • Contribute to the development of policy, standard operating procedures, high level briefs and reports, and IOPS best practice initiatives and national operations more broadly, including support for the strategic development of the Courts’ IFLO opportunities, initiatives and projects.
  • Assist and support the Assistant Director IOPS and IFLO cohort with operational requirements, including IT support and access, IFLO recruitment-related administrative tasks and supporting the coordination of engagements as required.
  • Assist and support in the development and upkeep of training materials, internal and external webpage content and communication resources to support IOPS initiatives.
  • Coordinate and support the participation of the IFLO cohort in local and national court events related to significant events for Aboriginal and Torres Strait Islander communities, such as NAIDOC week.
  • Maintain up-to-date records of stakeholders and community contacts.
  • Other duties as required, including supporting the Chief Executive Officer and Principal Registrar’s office in IFLO program-related work.
Competencies and Attributes
  • Experience in project coordination, administration, and/or community engagement.
  • Excellent organisational skills, with the ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • The ability to handle sensitive and confidential information with absolute discretion.
  • Proven ability to work effectively and autonomously with guidance from more senior members of the Courts.
  • While experience within a First Nations, court or legal environment is preferred it is not essential.
Selection Criteria
The successful applicants will need to have:
  • Strong verbal and written communication and interpersonal skills while exercising tact and discretion, acting impartially and always maintaining strict confidentiality.
  • Demonstrated ability to work in a positive, effective and culturally appropriate manner with Aboriginal and Torres Strait Islander Peoples and a positive and effective way with all key stakeholders internally withing the Court (such as judges and staff) and externally (such as key organisations).
  • Demonstrated ability to provide high-level administrative support including demonstrated commitment to excellence in service delivery.
  • Demonstrated organisational skills, including the ability to manage several processes at once, attention to detail, excellent time management skills, and apply planning and problem-solving skills.
  • Demonstrated ability to work both autonomously and as a member of a geographically dispersed team with limited direction, the ability to adapt to changing situations and priorities, and participate in collective work practices.
  • Sound IT proficiency with all existing Court IT systems and the ability to learn and adapt to new systems and technology quickly and effectively.
  • Professional discretion, including tact and diplomacy, and an understanding of how to approach sensitive and confidential information.
  • A demonstrated understanding and commitment to the application of the Australian Public Service (APS) Values, to abide by the APS Code of Conduct, and the ability to comply with the principles of Workplace Diversity and Occupational Health and Safety.
Eligibility
Employment with the Court is subject to the conditions prescribed in the Public Service Act 1999, and the following:

Australian citizenship – the successful applicant must hold Australian citizenship;

Security and character clearance – the successful applicant must satisfy a Police Records Check, and may also be required to complete security clearances during the court of their employment;

Health clearance – the successful applicant may be required to complete a health declaration or attend a medical assessment to confirm their fitness for duty.
